
* Allocation of a dedicated event co-ordinator to be the conduit between yourselves and the host golf club, thereby ensuring clear lines of communication and professional attention to detail of your requirements right from the outset;
* Sourcing and securing of a reservation at your intended venue on the date that you require.
o Dale Hayes Golf Events are fortunate to have a fairly full schedule and, to ensure 100% professional attention to detail, do not take on more work than can be handled to the satisfaction of our clients. Consideration of our company’s involvement would be determined by the date on which you decide to hold your event.
o It should also be noted that many of the up-market Golf Clubs in the general East London area are extremely busy and would have limited availability for corporate golf days in 2008. Therefore, sufficient lead-time and options of dates should be considered.
* Full communication to the host golf clubs to ensure that your requirements are attended to. This would be by way of:-
o Tee off times
o Local rules
o Catering, bar and décor requirements
§ Pre-golf
§ Midway through the round of golf
§ After golf
* Administration of your invitation functions by way of :-
o Obtaining your intended guest list to prepare a time sheet
o and numbers of guests invited to the dinner
o Monitoring of replies from your office
o Make up of an Aide Memoir for you to send to each confirmed guest by fax or email 1 week before the event to advise tee off times and all other necessary information such as dress code, sequence of events, etc.
The quotation for Dale Hayes Golf Events’ to co-ordinate this function has been costed separately in the event that your company chooses to handle this function yourselves.
* Dale Hayes Golf Events enjoy good relationships with a number of suppliers in the industry and thus are able to pass on discounted costs when purchasing gifts and/or prizes in accordance with your requirements. Your company would be required to provide us with details of your requirements in order for quotations to be obtained on your behalf.
* Management of the registration formalities by marking guests off on the time sheet and handing over of gifts, scorecards, information sheets and local rules.
* Preparation of the time sheet, with tee off times supplied by the golf club;
* Preparation, design and photocopying of black & white information sheets to hand to each player to ensure that all players are aware of the format of the competition, what’s included and what’s not, the sequence of events, extent of prizes on offer, what on course prizes would be found on the golf course and other local rules as may be indicated by the host golf club.
* Full scoring function, nomination of prize-winners and provision of a prize list for ease of the Master of Ceremonies at the prize giving function;
* Contracting of a suitable professional, such as Dale Hayes, or a celebrity, to fulfil the function of Master of Ceremonies at your evening prize giving function;
o It should be noted that if you wanted to include the services of Dale Hayes for a clinic and/ or Mc your prize giving function and or auction we would be able to discount his usual fee. If Dale would not be available we have a number of other sports personalities who we could book on your behalf.
* Provision of a budget to yourselves for Dale Hayes Golf Event’s management fee and any ancillary costs as agreed to by yourselves. Your company would pay 1 invoice to Dale Hayes Golf Events and their responsibility would be to settle the agreed-upon suppliers for the costs budgeted.
In contracting Dale Hayes Golf Events to manage your event, all golf-related issues in accordance with your requirements would be attend to, leaving your company to concentrate on the most important aspect of the golf days, being entertainment of and interaction with your guests.
